Cancellation and Refund (lodges only) Policy
Our backcountry huts and two lodges, Wyn Irwin Lodge and Kennedy Lodge, work very differently, so the cancellation and refund rules are different too. Hut fees work much like DOC hut fees: paying them does not reserve a bed. Lodge bookings are confirmed reservations and can be partly refunded if you cancel more than two days of your booking. Please read the section that applies to your stay.
Backcountry Huts
Hut fees and refunds: Our huts operate on a fee-paying basis, like most DOC huts. You can pay your hut fees before or after your stay. Paying in advance does not reserve or guarantee a bed. Most of our huts are first come, first served, and casual visitors may already be there when you arrive. We recommend carrying a tent or other emergency shelter in case the hut is full. Because hut fees are not a booking, they are not refundable. If you happen to pay in advance and aren't able to make use of your stay, consider it payment for your next attempt or a donation to help maintain our huts.
Conditions of use:
- You agree to make sure the correct hut fees are paid for everyone in your party.
- You agree to leave the hut clean and tidy.
- Do not break or damage the hut or its facilities.
- Do not use candles inside the hut except in an emergency.
- If you notice anything damaged or needing repair, please get in touch with our hut team.
Lodges (Wyn Irwin Lodge and Kennedy Lodge)
Cancellation and refunds: You can cancel a lodge booking at any time using the 'cancel booking' link in your booking confirmation email. If you cancel more than two days before your booking date, you will receive an 80% refund. The remaining 20% covers the transaction costs the club incurs. Bookings cancelled within two days of the booking date are non-refundable.
Conditions of use:
- Membership: Every staying party must include at least one current CMC member. Non-member groups, such as other outdoor clubs, may ask the CMC Committee for written permission to stay.
- Non-member access: A lodge warden or committee member may allow non-members to stay if their use is consistent with club policy. For Wyn Irwin Lodge, it must also be consistent with the Aoraki/Mount Cook National Park Management Plan.
- Entry refusal: A lodge warden or committee member may refuse entry if the intended use breaches club policy or, for Wyn Irwin Lodge, the National Park Management Plan.
- Access codes: Lodge access codes are given only to current CMC members. Codes will not be given to non-members or people who are not affiliated with the club, and the club keeps a record of who has received them.
- Compliance: Use of Wyn Irwin Lodge must follow the Aoraki/Mount Cook National Park Management Plan so the lodge can continue to operate in the park.
- Leave the lodge clean and tidy, do not use candles except in an emergency, and do not damage the lodge or its facilities.
- Shut and lock door, instructions on how to lock with the keypad are in the lodges, involves hit the lock button as you leave. We have a problem with people leaving lodge doors open and unlocked. Please don't be that person.
- Close the windows and turn off the lights. Treat our lodges like your home. They will be incredible expensive to replace (or impossible) if we mess them up.
